These regulations are applicable to the Arctic Challenge Tour organised by the JJ Concepts BV. By registering for said event, the registrant declares to be fully conversant with and to agree with the content of these regulations.
The organisation reserves the right to reject a registration, without having to state any reasons. Rejection shall take place in writing.
Teams can register under a joint name, however driving as a team is only permitted with a maximum of 4 teams.
Refund of the registration fee (Arctic Challenge Tour) takes place, if a request for participation of a team is rejected by the organisation and if a team registers at the moment when the maximum number of participants has been reached. If the registration fee is not paid on time, the organisation shall exclude the team from participating, however this shall not be regarded as rejection of participation. In such a case, the full registration fee remains payable and refunds shall not be given under any circumstances. If a team withdraws after payment of the registration fee and before the start of the Arctic Challenge Tour (for any reason whatsoever), the registration fee shall not be refunded. Transferring an accepted registration to another team and/or other persons is not permitted without approval from the organisation. In the event of a possible transfer, administration costs shall be charged (depending on the work done).The registration fee for companies excludes VAT.
If The Arctic Challenge Tour has to be suspended or curtailed due to unforeseen circumstances, or if a team has to abandon the tour prematurely due to disqualification or for other reasons, then the registration fee shall not be fully or partially refunded.
4a. If, due to unforeseen circumstances, an extra overnight stay has to be added to The Arctic Challenge Tour, this shall be at the expense of the participating team.
Every team for passenger cars consists of 2 persons. The minimum age is 21 years old, and both persons must be in possession of a valid travel document, an insurance certificate and a driving licence. Every participant is deemed to have taken out adequate travel insurance and to have insured himself/herself as well as the vehicle for at least third party liability. The organisation can require the participants to produce proof to this effect, where failure to do so can result in a participant being disqualified or excluded from participation. In such an event, the registration fee shall not be refunded.
The objective is to complete the legs of The Arctic Challenge Tour, by car, without infringing the prevailing local traffic regulations. In the event of infringing one (or more) traffic regulation(s), with the exception of parking violations, a penalty shall be incurred according to a predetermined penalty points system.
Sanctions: Disqualification is the highest penalty. (competition fraud or unacceptable unfair behaviour)
- In the event of undesirable behaviour
- In the event of undesirable driving behaviour, including but not limited to, serious or repeated traffic violations and/or speeding violations,
- In the event of checking out at coordinates not stated by the organisation
- In the event of tampering with the vehicle tracking system built-in by the organisation
- In the event of treating the environment and nature in an irresponsible manner
- In the event of the systematic failure to participate in the mandatory briefing, the organisation can decide to disqualify the relevant team for the relevant leg and/or final ranking.
In the event of a disqualification status, your participation in the Arctic Challenge Tour shall be terminated at the earliest possible opportunity, and you will no longer be visible on our vehicle tracking system. In such an event, the registration fee shall not be refunded.
Every team shall follow a route defined by itself to coordinates that it will receive from the organisation during The Arctic Challenge Tour. The coordinates shall be provided by a predetermined coordinates system. The finishing time shall be the total time taken from start to finish, however with the addition of the penalty time incurred. Every coordinate point of every leg must be reached in order to stay in the running for the ranking. The points that a team can win or lose when executing the special stages imposed by the organisation, shall be deducted and/or added to the final position. Teams that wish to deviate from the route and activities prepared by the organisation shall be disqualified and will no longer be visible on the track & trace system. They will also be removed from the ranking.
Any crossings must take place with scheduled ferry services. The costs for a crossing as well as toll roads, entrance fees, etc., also when they are prescribed by the organisation, are payable by the teams.
The costs for hotel accommodation, breakfast, dinner and activities, such as those planned by the organisation, are payable by the organisation. All other personal costs must be paid by the teams themselves. For a planned snowmobile safari, there is an own risk of 950.00 euro per person. This must also be signed for before the start.
Only one motor vehicle may be used for the entire tour. Possible repair to the vehicle is permissible, however providing the occupants with replacement transport is not permitted.
All vehicles must be standard motor vehicles and must be mentioned on the price list from the manufacturer.
Preceding, accompanying or following the team by another car, regardless of how it is called and regardless of the occupants of this other car, is not permitted.
During the entire tour, team members belong to the same vehicle. Changing the composition is not permitted.
Every team is obliged to help another team in distress and to immediately inform the Backoffice about the situation by telephone and to discuss this with the Backoffice. The instructions from the Backoffice must be followed. The time for the assisting team shall be stopped during the assistance so that this does not affect the result for the leg and the final ranking. Offering the stranded team and/or other persons a lift in the car is not permitted without permission from the organisation.
Monitoring of the driven route and the speed takes place by means of built-in Track and Tracing equipment (only applicable to the Arctic Challenge Tour). The registered participants are responsible for the system and for the returning of it. If received systems are not returned, the costs for these systems shall be charged to the relevant team. The value of the Arctic Challenge Tour track and trace system is € 500.00 per team excluding VAT.
At every coordinate reached, every team must enter the date, time and kilometrage in the logbook. The team shall also contact the Backoffice to receive new coordinates.
Prior to the start, every participant must sign a declaration in which he or she indemnifies the organisation, employees, administrative authorities and any other person who is involved in the organisation of this event from any liability. In the absence of such a declaration, the team shall be excluded from participation. In such a case, the registration fee shall not be refunded.
If it is evident during the technical inspection that the vehicle does not meet the requirements specified in these regulations, the team is given up to 1 hour to rectify the fault prior to the start of the event.
Participating teams are obliged to supply the organisation with copies of all publications (including film- and photo recordings) about their team after the Arctic Challenge Tour within four weeks of the event ending. Every participant agrees to interviews and images relating to the participants and/or participating team, being used by the organisation for media purposes.
All teams are obliged to attend every briefing.
Every team is obliged to clearly display the stickers supplied by the organisation at the stated location on their cars.
Every form of merchandising, publicity, recruitment, advertising, reference to, where use is made of photos / video images and the logo and/or the name Arctic Challenge (Tour), is not permitted without written permission from the organisation. Participating teams guarantee to RTL7 that the persons whose images shall be displayed in the program or who have contributed to this in another way shall not oppose the broadcasting and use by RTL7 (including digital/online use and archive images) by virtue of their portrait right or on other grounds.The participating teams fully indemnify RTL7 for all losses (including all costs for legal assistance) that RTL7 may incur due to such claims.
With the exception of advertising on the participating vehicles and/or on the clothing of the participants, it is not permitted, without written permission from the organisation, to provide publicity for persons other than event sponsors, during all meetings held by the organisation, before the start, during The Arctic Challenge Tour and at the finish.The teams agree via a sportsmanship agreement that they shall not express negative comments about participants, car brands and the organisation, before, during and after the Arctic Challenge Tour.
The organisation uses the electronic (email) contact data of participants/sponsors/partners/crew members to forward Arctic Challenge-related information. By means of (possible) acceptance of these regulations, according to the Telecommunications Act, it is not necessary to request special opt-in permission for this. During the acquisition (acceptance regulations Arctic Challenge Tour) of this data, the possible opposition/refusal is prohibited. The communication that is sent, at all times, relates to own and similar products/services.
An important aspect of the tour is the responsible approach to the environment and nature. Treat flora/fauna with due respect. Respect protected areas. Do not trespass on any land that is fenced off or on private land in general. Stay on the roads, especially in nature reserves. Detected infringements of the environmental decree (such as the intentional leaving behind of waste or trespassing (driving) in prohibited areas) shall result in penalty points or disqualification.
Every infringement of (a provision of) these regulations can result in disqualification for a leg or disqualification for the final ranking or penalty time for the relevant team. In such a case, the registration fee shall not be refunded.
In all cases not covered by these regulations, the final decision lies with the organisation.
Protests against decisions made by the organisation, by virtue of these regulations, must be submitted in writing within 1 hour of the team finishing, otherwise such protests shall be deemed to be inadmissible. No appeal is possible against the decision by the organisation to the protest, and any appeal before the competent court is expressly excluded.
